Overview

The Project Manager owns delivery end to end: timeline, scope, budget, and stakeholders. It tracks blockers before they become late deliverables, flags budget and scope risk, runs status reporting on a cadence, and drafts change orders. It works on your project data, reports in Slack, and drafts client comms for approval.

What it does

What it takes off your plate.

Delivery ownership

Owns timeline, scope, and stakeholder expectations, drafts kickoff plans from signed SOWs, and runs post-mortems at close.

Risk and blocker tracking

Surfaces stale blockers and slipping timelines across the portfolio before they turn into late deliverables.

Budget and scope

Flags budget and scope risk and drafts change orders with revised cost when scope expands mid-project.

Status reporting

Runs weekly portfolio updates and client-facing status on a cadence, plus executive one-pagers for reviews.

Example tasks

Things you can hand it.

  • Send a weekly portfolio update: every active project's status, risks, and next steps.
  • Draft a Friday client-facing status email for every project currently in flight.
  • Flag any project that's exceeded 85% of its budget with more than two weeks of work remaining.
  • Identify projects where the deliverable timeline has slipped more than 10% from the original plan.
  • Draft a change-order email when scope expands mid-project, including the revised cost.
  • Surface stale blockers: tasks marked "blocked" for more than 7 days.
  • Coordinate handoffs between phases and confirm stakeholder sign-off.
  • Draft kickoff briefs from a signed SOW and create the initial project plan.
  • Reschedule a project when a dependency slips, and cascade the update to the client.
  • Run a post-mortem at project close and record lessons learned on the account.
  • Pull together an executive one-pager on every project for the quarterly review.
How it works

Connect once, then read Slack.

  1. 1

    Connect

We set the agent up on your projects, budgets, and timelines, and connect the tools it should use.

  2. 2

    Track

It watches blockers, budget vs actuals, and milestone progress across every active project.

  3. 3

    Report

It posts a weekly portfolio update to Slack and drafts client status notes for the projects that need them.

  4. 4

    Act

On the higher tiers it sends status updates and change orders, within the limits you set.

Tiers

Start where you're comfortable.

Same agent, three levels of control. Moving up is a settings change, not a new setup.

QA

The agent reviews; your team acts.

  • Read-only access to projects, time, and budgets.
  • Weekly portfolio review with risk flags.
  • Recommendations in Slack.

Managed

The agent drafts, you approve client comms.

  • Everything in QA.
  • Drafts status emails, change orders, and kickoff briefs.
  • Sends only after you approve.

Full

The agent runs the work; you set the limits.

  • Everything in Managed.
  • Runs status reporting on a schedule.
  • Escalates red projects and change orders to a human.
FAQ

Common questions.

What do I need to get started?

A Helm workspace with projects and time tracking, and a Slack channel. Gmail, Google Calendar, and GitHub are optional integrations.

Can it draft change orders?

Yes, in draft form. It recognizes scope expansion from project updates, calculates revised cost using your rates, and drafts the change-order document. Most teams keep the send step human.

How does it assess project risk?

It reads budget vs actuals from Time Tracking, milestone progress from Projects, client engagement from Email, and blockers from task status. No separate risk dashboard to maintain.

Can I scope it to one project?

Yes. Agents can be workspace-wide or scoped to a single project. A common pattern is one senior PM agent with cross-project visibility plus per-project coordinators.

How do the tiers work?

QA reviews only. Managed drafts and sends after approval. Full runs reporting on a schedule. Moving up a tier is a settings change, not a new setup.
